Evaluate an applicant tracking system with realistic hiring tasks, structured review and candidate handoffs instead of a feature-only demo.

An applicant tracking system, or ATS, helps organise recruitment records and stages. A useful evaluation should show whether your team can manage a vacancy from application to handoff with clear permissions and consistent review. A polished dashboard is not enough evidence.
Bring a fictional hiring case
Prepare one vacancy, a few fictional applications and the review criteria agreed for that role. Include an applicant who withdraws, someone who reschedules and a candidate already present in the database. Avoid uploading real candidate records to an unapproved trial.
Zoho Recruit describes its product as an ATS and recruitment platform. Treat that as a category description; evaluate the exact edition, configuration and integrations proposed to your team.
Ask the demonstrator to complete tasks

Score each task as demonstrated, requires configuration, requires integration or unavailable. Do not mark a task as supported simply because someone says it is on a roadmap.
Test candidate experience and access
Check that a candidate can understand the next step and correct a submission through the intended process. Verify that interviewers see the information needed for their role without automatically seeing unrelated applications or private HR material.
Automated ranking should not replace a documented, job-relevant review process. Ask how reviewers can inspect the basis for a recommendation, correct inaccurate data and retain human responsibility for decisions. Do not use sensitive personal traits as shortcuts for suitability.
Follow the handoff into onboarding
A hypothetical candidate accepts an offer, then changes the agreed start date. The ATS and HR workflow should preserve one identity and update the appropriate handoff, rather than create a second employee record. Ask the vendor to show what happens when the destination system is temporarily unavailable.
Record implementation effort alongside subscription pricing: field setup, historical data, email templates, permissions, training and support. The scorecard should reveal what will work at launch and what remains a project dependency.
Use the same case with every shortlisted provider. A comparison based on completed tasks is easier to defend than a checklist where every product claims to have automation, reporting and integrations.
