Turn this outline into a working pilot.
Start with one team and a small set of representative records. For deadline tracking playbook, agree who owns the inputs, which system is the source of truth, and what a completed handoff looks like. Use the implementation points above as acceptance criteria, rather than enabling every available feature at once.
Check the exceptions as well as the happy path.
Test a missing field, a duplicate record, an overdue action and a change of owner. Make sure the responsible person can identify the problem and recover without creating another record. Record your starting measures and compare the same measures after the pilot. A dashboard or template is useful when it helps someone make a decision or finish an action.
Prepare the handover.
Document the agreed rules, access permissions, review cadence and escalation contact. Walk a second team member through the process using the same sample records. Capture open questions before rollout and assign each one an owner. Revisit the design after the first operating cycle using real exceptions and user feedback.
