In HR, rewards and recognition are often abbreviated to R&R. A nomination workflow should make the contribution visible, explain the selection criteria and preserve a clear approval record. The form is only one part of a process that employees need to understand and trust.
Name the contribution you want to recognise
Start with a small set of categories tied to the organisation's work. Ask nominators for a specific example, its approximate date and the people or customers it helped. “Always helpful” gives reviewers less to assess than a description of a particular contribution.
Keep individual and team nominations distinguishable. A team achievement should not disappear into the name of its most visible member. Allow the reviewer to request clarification rather than guessing the contribution of each person.

A hypothetical nomination describes a colleague who repaired a reporting process. The reviewer asks who else contributed and what changed for the users. That clarification may support a team nomination or a more accurate description of the individual's work.

Check for uneven visibility
Review whether the process consistently overlooks remote staff, quieter functions or roles with fewer public-facing achievements. A nomination count reflects visibility and participation as well as contribution. It should not be used as a standalone measure of employee performance.
Document conflicts of interest and use the agreed alternative reviewer when needed. If a programme includes a monetary reward, finance and HR should confirm the approved treatment before payment is arranged.
Close the loop carefully
Confirm that the recipient is comfortable with the planned public recognition and that the description is accurate. Explain the programme criteria to staff without disclosing confidential review discussions.
Measure the age of pending nominations and review participation across teams. Use those observations to improve access to the programme. The aim is a clear, consistent recognition process whose decisions can be explained with specific examples.
