Illustrative example: an enquiry is accepted, routed to a service owner and given a next action. If routing fails, a coordinator sees the exception. A retry uses the original submission reference.
Capture is more than a form
Store the accepted submission reference before calling another system. Record source and required business information, then create or match the CRM record. A browser confirmation should distinguish accepted processing from confirmed downstream completion. Otherwise a visitor can see success while the sales team receives nothing.
Quote approval needs evidence
A stage change should reference the approved quote, customer and currency. Define who can approve and which changes invalidate approval. If the value changes after sign-off, the workflow should request a new decision rather than reuse outdated evidence. Keep approval responsibility visible to delivery.
Onboarding starts with a complete handoff
Create a project only when the scope and start conditions are approved. Carry the scope reference, owner, kickoff conditions and billing contact. Missing information returns to the commercial owner. The delivery team should acknowledge the handoff so that a created project is not mistaken for a ready customer.
Test the uncomfortable cases
Run a duplicate event, an unavailable owner, a missing required field and a downstream outage. Check both the user message and the record created in each system. Agree how someone pauses the automation and works manually. These checks are part of the workflow, not a separate polish step.
Can we use the same workflow in every CRM?
The process model can transfer, but fields, permissions, events and available automation vary by edition. Validate the implementation in the chosen platform.
