An experience letter records an employee's service information in an approved format. Before generating it, verify the source facts, identify the authorised signatory and keep the issued version linked to the request. A polished template cannot correct an inaccurate employment date.
Confirm the source of each field
Use the maintained employee record for the name, identifier, role and service dates. If the employee held several roles, decide how the letter should represent that history under the organisation's approved practice. A current designation alone may not describe the full period.
Record the purpose of the request and any required recipient details. Avoid adding salary, private identifiers or performance claims unless they are appropriate, authorised and necessary for the requested document.

For a hypothetical employee who moved from analyst to team lead, the requested letter may need both roles and their periods. Ask for clarification before defaulting to the latest title across the whole employment history.

Resolve discrepancies before release
If the request and HR record disagree, route the discrepancy to the record owner. Preserve the original request and the correction evidence. Do not change a historical date merely to make the template match what someone typed into the form.
Keep draft and issued states separate. The issuing process should require approval of the actual final content, including any manually edited sentence. Use a unique document reference to connect the file to that decision.
Handle corrections as a new version
If an issued letter needs correction, retain the previous copy and record which version supersedes it. Confirm the delivery address or secure download route before sharing the replacement. A reissue should not create a second employee record.
Test the workflow with fictional data and a name that requires multiple lines. Verify date formatting, page breaks and signature placement. Treat the organisation's approved wording and applicable requirements as the governing inputs to the template.
