Leave without pay is commonly shortened to LWP. Managing it in an HR system requires a clear distinction between an absence, a leave decision and an approved payroll input. A missing check-in should enter an exception process before anyone treats it as a final unpaid-leave instruction.
Define the decision path
Identify the source of attendance, leave requests and corrections. Record who verifies an exception and who authorises the payroll input. Use the applicable policy and legal requirements to determine treatment; this workflow does not prescribe a deduction formula.
Keep the employee identifier, relevant dates, units, approval reference and correction history. If systems use different employee codes, maintain a verified mapping rather than matching on names alone.
Reconcile the period

A hypothetical employee appears absent because a device failed. The manager approves a correction, but payroll has already imported the earlier exception. A second import that only adds records will not fix the first value. The integration must support the authorised correction and retain its history.

Lock and version the approved inputs
Agree a cut-off and retain the approved input file or snapshot. Late corrections should follow a documented process with a reviewer. Never overwrite the original period silently; the payroll team needs to explain which version was processed.
Include a unique period and employee reference so retrying the same transfer does not multiply the absence quantity. Validate units explicitly when one system uses days and another uses hours.
Verify before and after processing
Before processing, reconcile employee counts and unpaid-leave quantities between the approved register and payroll. Investigate any employee who appears only in one system. After processing, review representative outcomes, including a corrected case and a mid-period employment change.
Give employees an appropriate route to report discrepancies. A dashboard labelled successful is not sufficient when the source correction has not reached the resulting pay record. Close the issue only after the authorised outcome and communication are confirmed.
