A salary increment letter should communicate an approved change clearly and match the information sent to payroll. The key controls are the effective date, the components affected and the version the employee receives. Issuing a letter and applying a payroll change are separate events.

Start from the approved revision

Create the letter from an authorised salary-change record. Capture the employee identifier, approval reference, effective date and component changes. Keep the annual and monthly basis explicit. Do not label a figure as take-home pay when it describes gross pay or total cost to company.

Use the approved compensation structure to populate the document. If an element is variable or subject to conditions, preserve that distinction. The person preparing the letter should not infer a guaranteed amount from a maximum or target value.

In a hypothetical example, an increase is approved on 20 September with an effective date of 1 October. The letter can be issued in September without implying that September's payroll should already contain the revised amount.

Handle a revised decision

If the approved amount changes before release, regenerate the draft and repeat the relevant review. If it changes after issue, create a controlled replacement and explain which version is current. Avoid silently replacing the file behind an old acknowledgement.

Keep any calculation of arrears in the payroll process, reviewed by the responsible specialist. A letter template should not invent a proration or tax method. Record the dependency when the final calculation is still pending.

Test the employee view

Open the final PDF as the recipient would see it. Confirm the figures, basis, date and signature remain legible and that private documents cannot be accessed by another employee. Retain the issued copy with its approval and delivery history.

After the applicable pay run, reconcile a sample of revised employees to the approved change register. That closes the loop between the communication and the actual payroll outcome.
